This position is an hourly role that currently reports to a senior manager within parks.
Responsibilities :
You would be responsible for day-to-day administrative tasks that keep the operation running smoothly and providing support for the leader(s) you are assigned to. It goes without saying that there will be phone calls, ordering and meeting support, but this job is very much about people, about building relationships and leveraging your peers and partners within the park to help our leaders be successful. Every day as an administrative professional is different! On any given day you might:
- Partner as the “information HUB” for the leader
- Drive team effectiveness and anticipate needs of the organization through
- Monitoring reports (i.e. labor utilization, service anniversary)
- Consolidating leader schedules and vacation calendars
- Updating distribution lists
- Drive an organized and professional environment while providing service focused delivery
- Prepare presentations, documents and other communication for local leader support
- Act as a consultant for leaders for travel & expense reports
- Monitor phones and calendars for senior leaders
- Order, receive and track deliveries and monitor inventory
- Large Meeting room prep and AV / video – conferencing setup and obtaining clearance
- Logistics management – keep up with multiple tasks, deadlines, and coordinate and drive responses effectively
- Support multiple leaders including onboarding and off-boarding
- Provide general office management and technology support including the shredding company, mail and Telecom, vendor repairs
Basic Qualifications :
- Proficiency with technology in both VTC meeting coordination and computer skills including Microsoft Word, Excel, Outlook, PowerPoint, Visio, SAP, Zoom and Concur
- Confidence to learn new programs when necessary
- Strong organizational and follow-through skills, and an orderly and detail-oriented approach with the ability to handle multiple work streams simultaneously
- Demonstrated ability to handle confidential information
- Strong time management skills along with the ability to be flexible with daily tasks and the ability of prioritize the daily/weekly/monthly workload
- Demonstrated verbal and written communication skills, as well as telephone etiquette skills
- Demonstrated effectiveness in a team environment
- Demonstrated problem solving skills, as well as continuous improvement process skills
- Demonstrated ability to seek out and share creative and new ideas
- Ability to build solid inter and intra-team relationships, desire to be truly helpful to your leaders and co-workers, and go the extra mile without being asked
