Job Purpose:

To oversee the RH location to ensure all physician and staff schedules are appropriate to guarantee a smooth and timely patient flow, maintain the physical environment, and to promote a positive work environment.

Duties:

  • Manage Front Desk staff schedules, arrange staff assignments during vac/pers time, call outs etc.
  • Integral role in hiring, discipline, and termination of all staff working in conjunction with the other VRC departmental supervisors
  • Go to person for Front Desk questions; assist the staff and call center with patient questions and appointment schedules
  • Interact with the Call Center Supervisor and staff regarding overrides to daily schedules
  • Assign Front desk tasks re: eligibility checks, obtain referrals, calling patients for reschedules, seat assignments, etc.
  • Check in and check out of patients, Collection of TOS and balance money
  • Scanning of intake pages; Maintain all front desk paperwork, new patient forms, demographic pages, HIPAA and financial forms
  • Process the daily reconciliation of TOS money collection for all front desk staff; make weekly bank deposits
  • Maintain doctor schedules, watch, and keep a 6-week calendar, keep patient flow efficient, input into template creation as needed
  • Monitor record retrieval; process medical record requests
  • Train and mentor new staff, the how to’s of Front Desk etiquette, check in and check out processes, TOS money collections, closes.
  • Keep the referring and PCP information in the database current; add new MDs to Athena and MDI as needed
  • Monitor staff productivity, address deficiencies
  • Master each front-end software modality, AthenaHealth, Phreesia, MDI
  • Promote a customer friendly, positive atmosphere
  • Order and stock clerical supplies; monitor, scan and keep drug inventory records accurate
  • Keep the facility operating smoothly, making sure it is clean, spot checking all rooms for the proper opening and closing protocols and/or offer suggestions for improvements needed
  • Troubleshoot office equipment and/or contact vendors when needed for equipment malfunctions
  • Handle any patient concerns, and be able to offer solutions as needed
  • Interact with all management team to ensure all policies and protocols are learned and adhered to by front end staff
  • Ability to troubleshoot issues for the tenant in Suite 1
  • Work in conjunction with the nurse and surgical coordinators to schedule patients for surgical procedures, assist in completing all necessary paperwork
  • Special projects and any other assignments as designated by the CEO and/or Administrator
  • And any other clerical tasks as needed

Skills/qualifications:

  • Computer, telephone and all business equipment skills needed.
  • Able to speak professionally in a friendly tone of voice
  • Good organizational skills and ability to handle multiple tasks.
  • Ability to prioritize work related duties.
  • Microsoft Office, Excel knowledge

Job Type: Full-time

Pay: $22.00 – $25.00 per hour

Schedule:

  • 8 hour shift
