Definition of Classification:
The Assistant Director of Special Projects plays a critical role in planning, coordinating, and executing various special projects within the School of Education (SOE). This position directs special projects and supervises staff in the School of Education.
Reporting to the Dean, School of Education, this position collaborates closely with the Dean, Associate Dean of Academic Affairs, and Assistant Dean of Operations and Analytics to plan, coordinate, and execute administrative duties and special projects aimed to support students, staff, and faculty.
This position requires flexible working hours, which may include working some evenings, weekends, and some holidays.
Duties and Responsibilities:
The duties and responsibilities include, but are not limited to, the following:
- Directs and manages special projects, with an emphasis on a three-year grant project California Educator Preparation Innovation Collaborative (CalEPIC) that funds this position.
- Conducts research and assists with external presentations related to CalEPIC.
- Creates comprehensive project documentation (e.g., project management plans, status reports, meeting minutes).
- Maintains accurate records of CalEPIC activities, milestones, and outcomes.
- Collaborates with various departments within the School of Education and across the university to align project activities and leverage expertise to meet project goals.
- Supports grant writing efforts to extend funding support for projects like CalEPIC, such as grants funded by the California Commission on Teacher Credentialing.
- Establishes and cultivates relationships with K-12 district stakeholders to foster a community of collaborative support for K-12 administrators and SOE faculty.
- Assists in managing project budgets, tracking expenses, and optimizing resource allocation for the CalEPIC grant. Works closely with the Dean to ensure efficient use of resources and adherence to budgetary guidelines.
- Provides internal team status updates on various CalEPIC activities.
- Co-facilitates qualitative and quantitative data collection.
- Collaboratively develops and manages surveys related to perceptions of SOE students’ preparation and program experiences.
- Identifies data gaps and supports the development and refinement of new tools.
- Contributes to mapping of processes with attention to metric development.
- Co-coordinates IR meetings with Dean and Assistant Dean.
- Coordinates communications to and from faculty and staff about special projects related to external partnerships.
- Co-coordinates events and convenings in the School of Education.
- Maintains department privacy by keeping information confidential; adheres to all safety and housekeeping policies and procedures.
- Serves as scheduling contact and liaises with PIs on grant from Chapman’s Thompson Policy Institute and Bill and Melinda Gates Foundation, as needed.
- Creates flyers and memos for internal and external updates on grant progress.
- Trains graduate assistants on systems and processes.
- Supervises, plans, directs, and assigns work of assigned staff; makes hiring and disciplinary decisions; provides feedback on performance and approve timesheets.
- Supports the Associate Dean of Academic Affairs with special projects.
- Supports the launch of new special projects, such as Education First, the Residency Project, and the newly funded CTC grant.
- Provides technical support with scheduling and course evaluations.
- Supports SOE communications efforts (e.g., social media, newsletters).
- Co-coordinates data dialog meetings to share results of data collection and to garner feedback.
- Co-collaborates with Commission on Teacher Credentialing (CTC) with representatives to develop a logistics plan for accreditation site visit or revisit, in accordance with CTC guidelines.
- Manages and updates the Academic Affairs SharePoint site.
- Supports faculty with special projects (e.g., ACTW Vibe 5k).
- Supports the development of an SOE handbook.
- Supports the SOE Centennial History Project.
- Performs other related duties and special projects as assigned.
Qualification Guidelines
Any combination equivalent to, but not limited to, the following:
Experience/Training/Education:
Required
- Bachelor’s Degree.
- Three years’ professional related experience in an educational setting.
- Strong budget acumen.
- Demonstrated capacity to create, interpret and enforce procedures and policies.
Preferred
- Master’s Degree.
- Interest in institutional research and data management.
- Experience delivering holistic student care.
- Demonstrated skills in leadership, supervision, meeting facilitation, training, programming, and community development.
Knowledge and Skills:
- Working knowledge of CTC credentialing requirements.
- Working knowledge of grant writing and support if/when funded.
- Knowledge of department and campus policies, procedures, and practices.
- Ability to carry out a variety of professionally complex assignments without detailed instructions.
- Excellent oral, written, and interpersonal communication skills, including giving presentations and interacting with diverse populations.
- Effective and compassionate communicator with faculty.
- Effective organizational skills, meeting deadlines, and managing multiple priorities.
- Proficiency in Microsoft Office software including Excel, Word, PowerPoint, and Outlook.
- Ability to perform under pressure, relate positively to people, and to motivate others to function as a fully participative member of a team.

Working Conditions:
Standard office setting. Duties performed are primarily in an office environment while sitting or standing at a desk or computer workstation or in meetings. At least minimal environmental controls to assure health and comfort. This position requires flexible working hours, which may include working some evenings, weekends, and some holidays.

Incumbents regularly sit for long periods; walk short distances on a regular basis; use hands and fingers to operate an electronic keyboard or other office machines; reach with hands and arms; stoop or kneel or crouch to file; speak clearly and distinctly to answer telephones and to provide information; see to read fine print and operate computer; hear and understand voices over telephone and in person; and lift, carry and/or move objects weighing up to 10 pounds.

HIRING RANGE: Anticipated hiring range is near or at the minimum of the classification, commensurate with candidate’s education, experience, skills, and training. The University of Redlands is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is defined as the Full Pay Range. The budgeted salary or hourly range that the University reasonably expects to pay for this position defined as the Hiring Range. Placement within the Hiring Range is determined by internal equity, and relevant qualifications.

PHYSICAL AND PSYCHOLOGICAL EXAMS: For certain positions typically in Public Safety, Facilities, Athletics and Information Technology Services departments, employment is contingent upon a candidate passing a pre-employment physical exam with the ability to lift in excess of 50 lbs. Public Safety Officers, in addition to a pre-employment physical exam, will also be required to pass a psychological evaluation.
