Full Job Description
This is the role that maximizes the CEO’s time and impact by ensuring preparedness, efficiency, and transparent communications. This individual’s success is measured by anticipating wants and needs of the organization, CEO, and Leadership team.
Responsibilities:
· Conserves CEO’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
· Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
· Assists CEO and the Executive Team with meeting agenda management – agenda creation and distribution, as well as tracking of deliverables and action items.
· Assists CEO and Executive Team with internal and external presentations.
· Assists CEO and Executive Team with managing and documenting training, educational, professional networking and business development opportunities for company and employees.
· Coordinates, Develops and Maintains corporate social media accounts (e.g., Linked In, Twitter, FB, Website material, etc.)
· Assists CEO in presenting and maintaining our corporate identity, Values and Story.
· Prepares reports by collecting and analyzing information. Ensures accuracy of any data. Secures information by completing database backups.
· Represents the CEO by attending meetings in the CEO’s absence and speaking on behalf of the CEO as appropriate.
· Maintains customer confidence and protects operations by keeping information confidential.
· Provides historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions.
· Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies.
· Builds relationships with the leadership team and field operations leadership such that trust is established and results are achieved.
Qualifications:
· 5 years of experience supporting an executive
· Construction experience a plus
· Strong Written and Verbal communication skills
· Data driven and experience delivering accurate reports
· Calendar management experience – including coordinating travel
· Microsoft Office skills (with focus on Excel and PowerPoint)
· Expert organization skills
· Excellent relationship building skills
· Time management skills
· Presentation skills
· Office equipment maintenance experience
