Job Purpose:
Purchasing Assistants work to coordinate the purchase of products and materials on behalf of an organization.
They conduct market research to determine where to find the best quality materials and products for the best
prices. They build and maintain relationships with vendors in order to ensure their organization always has a
source for necessary products. Purchasing Assistants also handle administrative duties relating to purchases,
including tracking orders and ensuring records are kept up to date.

Education / Training:
- Skill Level IV– 5+ years of experience, Technical or specific experience;
- Skill Level III – 2-5 years of experience or Specific;
- Skill Level II – 1-2 years of experience or BS/BA or Technical Degree Experience or Technical Certifications;
- Skill Level I – Entry Level.

Key Job Elements:
Minimum duties and responsibilities:
- Monitor stock levels and identify purchasing needs;
- Research potential vendors;
- Track orders and ensure timely delivery;
- Update internal databases with order details (dates, vendors, quantities, discounts);
- Maintain updated records of invoices and contracts;
- Follow up with suppliers, as needed, to confirm or change orders;
- Liaise with warehouse staff to ensure all products arrive in good condition;
- Compare product deliveries with issued purchase orders and reconcile discrepancies;
- Prepare cost analyses;
- Prepare various daily, weekly and monthly reports;
- Prepare for and conduct End of Month activities.
Advanced duties and responsibilities:
- Review purchasing agreements with vendors and maintain open lines of communication with those vendors;
- Develop a process to monitors supply inventory and develop purchasing needs based on quarterly and
annual inputs;
- Establish long-term purchasing arrangements with vendors that benefit the company;
- Conduct market research to identify pricing trends;
- Evaluate offers from vendors and negotiate better prices.
Qualifications and Experience:
- Strength – Must be able to lift 40 lbs, i.e office paper boxes;
- Motion – The position is primarily in an office setting requiring sitting at the desk the majority of the day. May require frequent visits to the warehouse helping check inventory;
- Vision/Hearing Requirements – May spend long periods of time in front of computer screen. Must be capable to read labels. Must be capable to communicate with staff, warehouse and vendors;
- Work Environment – Will spend the majority of time in office environment, although exposed occasionally to plant facilities requiring exposure to hot and cold environments along with noise exposure;
- Emotional Demands – Must have good communications skills;
- Safety – Position is not safety sensitive, works primarily in office and not operating moving equipment. Employees must utilize all required PPE which could include metatarsal boots, hearing, eye, head and hand protection.
