Keefe & Associates is a family office based in Lake Geneva, WI that oversees a thriving vacation rental business, as well as manages numerous mixed use, commercial, and apartment buildings in the area. Summary
As Accounting Manager, you will be responsible for managing the accounting functions related to commercial real estate properties, corporate entities, and the personal finances of the owners. You will be responsible for developing the accounting team and managing direct reports, making appropriate improvements to internal accounting processes to ensure that practices are in line with the overall goals of the organization, and preparing accounting reports for ownership.
This position reports to the owner and CFO but will be given significant autonomy to run the department. Strong communication skills will be required as the position will enjoy consistent interaction with property managers, owner, partners, and vendors. Further, this position will have opportunity to help grow services provided, offering the opportunity for financial incentives based on that growth.
Responsibilities
- Leading and assisting in day-to-day activities of accounting functions in collaboration with a professional accounting staff
- Overseeing accuracy and timeliness in the department
- Making improvements to accounting processes as needed
- Active involvement in strategic planning using the EOS business management system
- Preparing monthly/quarterly financial statements for multiple entities, both cash and accrual basis accounting, according to GAAP.
- Ensuring accuracy of ledger entries to ensure the organization has an accurate statement of its financial position.
- Managing the analysis of current costs, revenues, financial commitments and obligations to assess future revenues and expenses, as well as recommending capital calls and distributions
- Preparing annual budgets.
- Analyze monthly budget vs. actual variances and provide analysis and summary
- Procurement and management of property and casualty insurance
- Quarterly/annual CAM reconciliations
- Assist in annual tax return preparation
- Preparation of owner PFS and cash flow projections
- Ensuring that company bills are paid, and debts are collected
- Implementing and enforcing financial and inventory controls
- Work with owner to maintain and manage banking relationships
- This individual will be responsible for overseeing the following tasks are completed by staff on a timely and accurate basis:
- Process payable invoices: review, code, acquire approvals, process payments by check or electronic payments
- Accounts receivable including invoicing tenants, making bank deposit via both remote scanner and driving to financial institutions. Follow-up with past due tenants to ensure all payments are received in timely manner.
- Prepare monthly bank reconciliations, following up on any outstanding items.
- Record monthly adjusting and accrual journal entries.
- Monthly sales/use tax submissions.
- This individual will also oversee payroll, benefits, and general HR needs, including:
- Bi-weekly payroll for multiple entities using ADP.
- Proper completion and record-keeping of new hire/rehire paperwork, including employment applications, tax forms, I-9 documentation and all other additional paperwork
- All employee record-keeping functions (HRIS, timekeeping and/or payroll, etc.)
- New hire/rehire employee records into timekeeping and/or payroll systems
Qualifications
- BS in Accounting or 5+ years in property/real estate accounting required
- Experience managing staff and associates required
- Accounts Receivable (Cash Applications, Credit, Collections) and Accounts Payable experience required.
- Property management or real estate knowledge preferred
- Strong knowledge in QuickBooks and Excel
- Proficiency with technology
- Strong communication, organization and time management skills
- Demonstrated aptitude for math and ability to perform detailed calculations and analysis
- Experience managing and coordinating multiple projects
