Founded in 1996, FOODMatch is a producer and importer of Mediterranean specialty foods with expertise in traditionally and responsibly sourced olives, antipasti, spreads, sauces, and ingredients. Summary
Receive, process, and confirm order confirmations both accurately and timely to ensure our superior customer service level is maintained and to provide support, information, and follow-up on inventory issues with sales representatives, brokers, and occasionally customers to maximize sales.
This role is based in the New York City headquarters and has the option to follow a hybrid work schedule (Monday, Tuesday, Thursday in office / Wednesday, Friday remote). Please note we have a mandatory vaccination policy for in-office workers.
Essential Functions
Order processing and confirmations
- Process orders accurately and promptly
- Confirm orders in a timely manner with sales representatives
- Confirm orders with customers
- Manage orders on EDI portals
- Answer warehouse questions
- Verify prices and inventory availability
- Note current promotional pricing on confirmations
- Note out of stock items and expected arrivals of those items on order confirmations and suggest substitute items
Domestic Logistics
- Proactively manage freight and collaborate with the Transportation Team on:
- Requests for quotes and negotiate best possible rates
- Provide delivery orders to all trucking companies
- Resolve trucking issues such as late trucks
- Change delivery date and time when required
- Arrange alternative freight for missed shipments
- Negotiate unloading and lumper fees
Customer Service
- Forward customer’s interest on new items to Sales
- Respond directly to customers for simple item questions
- Request changes for pricing, quantities, etc.
- Forward sample requests to Sales
- Provide spec information and availability
- Resolve and arrange for item returns
Communicate with Purchasing Team
- Advise Purchasing of any inventory pattern changes
- Consult with Purchasing on any out of stock situations
- Refer questions of new product arrivals to Purchasing
- Maintain a current discontinued item list
- Coordinate direct container orders
- Notify Purchasing of any preorders
Communicate with Accounting
- Manage orders for customers on credit hold
- Notify of returns, damages, mis-ships, and deductions
- Alert Controller of pricing not in Navision
Warehouses
- Work with warehouses to resolve discrepancies, damages and mis-shipments
Background Requirements
- High School Diploma required; Bachelor’s degree preferred
- Experience in a similar role
Skill & Ability Requirements
- Must be customer-service oriented, with a friendly, professional nature
- Must have a sense of urgency; able to work under time constraints
- Ability to multi-task
- Must have excellent verbal and written communication skills
- Must be proficient in Microsoft Word and Excel
- Passion for Mediterranean food a plus!
