Primary Purpose:
The Administrative Assistant for Sales and Marketing, provides all necessary administrative support to the Sales and Marketing groups including Customer Service, Distribution, Product Planning, Business Development, Domestic Sales, International Sales, and PE&D.
*This is a first shift opportunity and does not support remote work.*
Essential Job Functions
- Exhibits a positive attitude to all employees and visitors.
- Answers telephone in a timely, professional, and courteous manner.
- Schedules appointments.
- Responsible for meeting coordination and all activities pertaining to meetings (ie ordering food, updating calendars, etc.)
- Enter PTO requests and update weekly payroll in the payroll system.
- Schedule and coordinate visitor activities (ie visitor tours, assemble visitor packets, book hotels for guests, etc).
- Responsible for training course coordination (ie booking hotel blocks, ordering meals, confirming and managing registrations, putting together welcome baskets, etc).
- Organize travel activities for staff and visitors.
- Record, type and distribute meeting minutes as assigned.
- Supports all administrative functions of Sales & Marketing (including documentation scanning and filing).
- Print and stock literature and fill marketing literature requests from sales representatives and third parties.
- Responsible for the EDRC process.
- Use independent judgment to plan, prioritize, organize diversified workload, and recommend changes in office practices or procedures.
- Revise standard operating procedures and forms as needed and route for approval.
- Performs other duties as assigned.

Experience
Required
- Computer literacy and working knowledge of programs currently in use at CBC/CTS a must.
- Must be able to type a minimum of 41 words per minute.
- Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities, and meeting deadlines.
- Must have high level of interpersonal communication skills to handle sensitive and confidential situations.
- Position continually requires demonstrated poise, tact and diplomacy.
- Must be able to work in a fast-paced, team-oriented environment with demonstrated ability to juggle multiple competing tasks and demands.
- Must be able to meet the required physical demands with or without reasonable accommodation.
Preferred
- Additional training in business/administrative studies.
- A minimum of one year of administrative support experience.
- Knowledge of medical terminology.
